Overview of Role: Our client based in Co Louth/ Meath/ Cavan/ Monaghan are seeking an Office Manager/Executive Assistant on a full-time permanent basis.

 

Office Manager/Executive Assistant

The Office Manager will be reporting to the Operations Director, the successful candidate will be responsible for assisting in the efficient and effective operation of the company. The role involves managing Administrative, HR and IT related tasks, coordinating operational activities, and facilitating smooth communication within the organisation.

 

Key Responsibilities:

Maintain confidential and sensitive information, exercising discretion at all times

Oversee all Office Administration tasks and support to the Finance & Operations Director

Support the Coordination of Financial processes such as invoicing, booking keeping, payables, receivables, and expense reimbursements

Assist in Financial reporting, analysis, and forecasting

Assist in managing documentation, records, and filing systems and communication with staff and clients

Provide Administration, travel, and diary management support to the Managing Director.

Arranging and organising travel for all staff, including visas as required.

Streamline Administrative processes and suggest improvements to enhance efficiency

Dealing and following up on HR related queries  

Serve as a primary point of contact for internal and external stakeholders

Liaise with various external service providers as an when required

Assist in preparing and distributing company-wide communications

Foster positive working relationships across the organisation.

Promote a positive and inclusive work environment, promoting teamwork and collaboration

 

The Candidate requirements and desirables:

Minimum of 3 years’ experience working in a Senior Administrative / Business Support role

Experience in a similar role, preferably in a consulting or professional services environment

Strong can-do attitude and organisational and multitasking abilities, with exceptional attention to detail

Ability to work effectively under pressure and meet multiple deadlines

Excellent verbal and written communication skills

Experience of working with ISO or similar external accreditation standards

Demonstrated problem-solving and decision-making skills

A proactive and self-motivated individual who can take self-initiative and with the ability to work independently and as part of a team

Proficiency in using productivity tools and software: MS Office (including Teams), SAGE, or similar accounting software and CRM software

Diploma/Certificate in Business Administration, or a related field is desirable.
